1. Scope
This Privacy Policy describes how Ideal Talent Group, LLC (“ITG,” “we,” or “us”) collects, uses, and handles information from visitors to idealtalentgroup.com (the “Site”) and from individuals who submit information through our contact and inquiry forms.
This Policy applies to all Site visitors: candidates submitting résumés or inquiries, employers inquiring about our services, and general visitors. It does not govern information shared off-Site through direct email or telephone.
If you submit a candidate inquiry or résumé, our Terms & Conditions also apply and govern how we handle your candidate materials specifically, including AI-assisted processing and sharing with employer clients.
2. Information We Collect
We collect information in two ways: directly from you, and automatically through Site operations.
What you provide directly
- Name, email address, and phone number
- Organization or firm name (for employer inquiries)
- Message content and any details about your search or inquiry
- Résumé or CV, if attached to a candidate form
- Practice area selection (from dropdown on contact forms)
What is collected automatically
- IP address and approximate location (city/region/country level), collected by Cloudflare as part of standard CDN and bot-protection operations and surfaced internally to triage inbound inquiries
- Browser type, operating system, and device type (standard server logs)
- Pages visited, time spent, and referral source (via analytics, if active)
- Cloudflare Turnstile challenge signals (browser metadata used to distinguish human form submissions from automated bots)
We do not collect payment card numbers, government IDs, Social Security numbers, biometric information, or medical information through the Site.
3. Sensitive Personal Information
Under the California Privacy Rights Act (CPRA) and similar state laws, certain categories of personal information are designated “sensitive.” We do not request or knowingly collect sensitive personal information through this Site, including:
- Social Security, driver’s license, state ID, or passport numbers
- Account log-in credentials, financial account numbers, payment card numbers, or any access codes
- Precise geolocation (street-level)
- Racial or ethnic origin, religious or philosophical beliefs, or union membership
- Genetic, biometric, or health information
- Sex life or sexual orientation information
Résumés you voluntarily submit may incidentally contain sensitive categories of information (for example, education at a religiously affiliated institution, or membership in a professional association that implies a protected characteristic). We do not infer protected characteristics from your résumé and we do not use such information for any purpose other than the recruiting context you authorized. We do not use sensitive personal information to infer characteristics about you for advertising or behavioral profiling.
4. How We Use Your Information
- Responding to inquiries: contacting you in response to messages, form submissions, or consultation requests.
- Candidate recruiting activity: evaluating submissions for current and future search engagements, as described in our Terms & Conditions.
- Internal recordkeeping: maintaining records of communications, placements, and client engagements.
- Site improvement: understanding how visitors use the Site to improve content and navigation.
- Security and spam prevention: detecting and filtering automated or abusive form submissions.
We do not sell personal information. We do not use it for cross-context behavioral advertising. We do not build behavioral profiles on general Site visitors.
5. Automated Decision-Making and AI Processing
We use AI-assisted tools to parse résumés, extract structured information (work history, education, credentials), and surface candidates whose background matches an active search. These tools are described in detail in our Terms & Conditions.
No automated process alonedetermines whether a candidate is contacted, presented to an employer, or considered for an opportunity. Every candidate decision involves human review by an ITG recruiter. Under Article 22 of the EU GDPR and equivalent provisions in Colorado, Connecticut, Virginia, and other state laws, we do not engage in “solely automated decisions” that produce legal or similarly significant effects on candidates.
You may opt out of AI processing at any time by writing to privacy@idealtalentgroup.com. Opt-out applies to all future processing; we cannot reverse processing already completed at the time of your request.
7. Third-Party Services
We use the following third-party service providers in connection with the Site. Each is a “service provider” or “processor” under applicable privacy laws and is bound by a written data processing agreement that limits use of personal information to the services they provide to ITG:
- Cloudflare: hosting, CDN, DDoS protection, Turnstile bot verification, and approximate IP geolocation. Cloudflare processes IP addresses and browser signals as part of standard operations. Cloudflare Privacy Policy →

- Meta Pixel and Conversions API: advertising-measurement pixel. Off by default. Fires only after you grant marketing consent through the cookie preferences banner. Meta Privacy Policy →
- Resend: transactional email delivery. Form submissions and résumé attachments are transmitted via Resend to our recruiters. Attachments are not stored on Resend servers beyond delivery. Resend Privacy Policy →
9. Retention
Candidate materials are retained for up to two years from submission, or until you request deletion, consistent with our Terms & Conditions. Contact form submissions are retained as business correspondence for as long as the relationship is active.
To request deletion, email or call us using the contact information in Section 10. We process deletion requests within 30 days and confirm completion. Some records may be retained longer where required by law or for legitimate business purposes such as documenting a completed placement.
10. Your Rights
Depending on the privacy law that applies to you, you may have some or all of the following rights with respect to your personal information:
- Right to know / access: receive a copy of the personal information we have about you and the categories of sources, purposes, and recipients
- Right to correct: request correction of inaccurate personal information
- Right to delete: request deletion of personal information we hold about you, subject to legitimate business or legal retention obligations
- Right to data portability: receive a copy of your personal information in a structured, machine-readable format
- Right to opt out of the sale or sharing of personal information, of targeted advertising, and of profiling that produces legal or similarly significant effects (we do not engage in any of these activities, but the right exists)
- Right to limit use of sensitive personal information (we do not knowingly collect sensitive personal information through this Site)
- Right to non-discrimination: we will not discriminate against you for exercising your rights
- Right to withdraw consent: where we rely on consent, you may withdraw it at any time
- Right to appeal: if we deny your request, you may appeal our decision (see Section 12)
11. State-Specific Rights
We respect the privacy rights granted by United States state laws, including the comprehensive privacy statutes now in effect in California, Virginia, Colorado, Connecticut, Utah, Iowa, Indiana, Tennessee, Texas, Oregon, Montana, Delaware, New Jersey, New Hampshire, Minnesota, Rhode Island, Maryland, and Kentucky.
California Residents (CCPA / CPRA)
California residents have the right to know, delete, correct, opt out of the sale or sharing of personal information, and limit the use of sensitive personal information. We do not sell personal information. We do not engage in “sharing” for cross-context behavioral advertising as defined by the CPRA. We have not sold or shared the personal information of California residents in the preceding 12 months, and we do not knowingly sell or share the personal information of consumers under 16 years of age. We will respond to verifiable consumer requests within 45 days, with one 45-day extension if reasonably necessary.
Virginia, Colorado, Connecticut, Texas, Oregon, Montana, and similar states
Residents of these states have the right to access, correct, delete, and receive a portable copy of personal information, and to opt out of sale, targeted advertising, and certain profiling. They also have a right to appeal a denied request, with information on contacting the state attorney general if the appeal is also denied. Our appeal process is described in Section 12.
Authorized Agents
You may designate an authorized agent to submit a request on your behalf. Submit your request through the contact channels in Section 12 with a written authorization signed by you, or a power of attorney, identifying the agent. We may verify the agent’s identity and the existence of the authorization before responding.
12. Exercising Your Rights and Appeals
To exercise any of the rights above, email privacy@idealtalentgroup.com with your full name, the email address you used when contacting us, and a description of your request. No account is required.
Verification of requests
We verify requests by matching the information you provide against information in our records. For sensitive requests (such as deletion of all records), we may ask one or two additional security questions or request that you confirm the request from the email address on file. We will not require you to create an account or provide additional personal information beyond what is necessary to verify your identity.
Response timeline
We will acknowledge your request within 10 business days and respond substantively within 45 days (or 30 days where a shorter window is required by law). One 45-day extension is available if reasonably necessary, and we will notify you in writing if we need it.
Appeals
If we deny a privacy rights request in whole or in part, you may appeal our decision by emailing legal@idealtalentgroup.com with the subject line “Privacy Rights Appeal.” We will reconsider the request and respond within 60 days with our decision and reasoning. If your appeal is also denied and you are a resident of a state where this right exists, you may submit a complaint to your state attorney general.
13. International Visitors / GDPR & UK GDPR
ITG is based in the United States and operates from Tampa, Florida. If you visit the Site from outside the United States, your personal information will be transferred to and processed in the U.S., which may not provide the same level of data protection as your country of residence.
For visitors in the European Economic Area, the United Kingdom, and Switzerland, our lawful bases for processing under the EU GDPR / UK GDPR are: (i) consent for cookies and optional analytics; (ii) legitimate interests (Article 6(1)(f)) for responding to inbound inquiries, recruiting candidates, security, and fraud prevention; and (iii) contract performance (Article 6(1)(b)) where you have entered into a placement engagement with us.
Where personal data is transferred from the EEA, UK, or Switzerland to the United States, the transfer is made under the European Commission’s Standard Contractual Clauses (or the UK’s International Data Transfer Addendum) where applicable. You have the right to lodge a complaint with your national data protection authority. ITG does not currently have an obligation to designate a Data Protection Officer or an EU/UK representative under the size-based thresholds in the GDPR.
14. Children’s Privacy
This Site is intended for adult professionals and businesses. We do not knowingly collect personal information from children under 16 years of age. We do not direct any content on the Site to children, and we do not knowingly sell or share the personal information of consumers under 16. If you believe a child has submitted information to us, please contact privacy@idealtalentgroup.com and we will delete it.
15. Security
All data transmitted through the Site uses TLS encryption. Form submissions pass through Cloudflare’s network. Bot-submitted forms are filtered through Cloudflare Turnstile before reaching our systems.
Résumé files are transmitted directly via Resend and are not stored on public-facing servers. File type and content are validated server-side before transmission.
No system is fully immune to security risks. We take reasonable technical and organizational measures to protect information, but we cannot guarantee absolute security.
16. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. The effective date at the top of this page reflects the most recent revision.
For material changes, we will update the effective date and post a notice on the Site for at least 30 days. If you have submitted personal information through the Site and we have your email address, we will notify you of material changes by email. Continued use of the Site after changes are posted constitutes acknowledgment of the updated Policy.
